Privacy Policy

CedarPost is communication and directory software for churches. Your church runs its own private space in CedarPost: the church's staff decide who may join, and nothing in the app is visible to the public or to members of other churches. This policy explains what information we collect, how it's used, and the choices you have. We've written it to be read, not skimmed past.
What we collect
- Account information — your email address, a password (stored in hashed form by our authentication provider), the name you enter on your profile, and your birthdate. The birthdate is a neutral age gate collected at sign-up: CedarPost accounts require you to be at least 13, we refuse account creation for anyone younger, and the birthdate is never public.
- Teen accounts (13–17) — a teen's account exists only two ways: they sign up themselves (13 or older, subject to their church's normal approval), or a parent creates it as part of enabling ministry chat. A teen's email address is used for signing in and password resets only — it never appears in the member directory and never receives announcement emails. Teens are never listed in the directory at all, and their in-app surface is deliberately minimal.
- Church membership information — the profile details you choose to add (phone number, photo, birthday), your household, the ministries you belong to, and announcements you post. Churches may also keep volunteer safety records (such as background-check status) for members who serve with children; those records are entered and managed by your church's staff.
- Ministry chat messages — messages you send in a ministry's chat channel, where your church has turned chat on. Messages are stored in the same database as everything else — chat does not add any new outside company to the list of providers below.
- Notification preferences — your choices about how the app may contact you (push notifications, email, and text messages where offered).
- Mobile phone numbers for text messaging — only if you opt in to receiving text messages from your church.
We don't collect anything else, and we don't run ads or analytics that profile you.
Your mobile number stays private. Mobile phone numbers and text-messaging opt-in information are never shared with or sold to third parties or affiliates for marketing or promotional purposes. Not by us, not by your church through CedarPost, not ever.
Text messaging (SMS)
- Text messages are strictly opt-in. You will only receive them if you chose to.
- Message frequency varies with your church's activity — a quiet week means few or no messages.
- Message and data rates may apply, depending on your mobile carrier and plan.
- Reply STOP at any time to stop receiving texts. Reply HELP for help. You can also change your notification settings in the app at any time.
Who can see your information
Only approved members of your own church — and even then, you control the details. The member directory is opt-in: you're not listed until you choose to be, and you choose which details (photo, phone, email, address, birthday) fellow members may see. Ministry leaders can see the roster of their own ministry. Children never appear in the directory; child profiles are created and managed by parents (or church staff), have no login of their own, and are visible only to their family, their ministry's leaders, and church staff.
Ministry chat is visible to the members of that ministry. Ministry leaders can remove messages and mute members, and those actions are logged. Church staff do not have hidden access to adult chat: reading a channel requires visibly joining that ministry's roster. The one exception is a safety review — church staff can export a channel's message history when a safety concern requires it, and every such export is permanently logged in the church's audit trail. The app tells you all of this inside every channel, because you should never have to read a policy page to know who can see what.
Youth ministry chat works differently, on purpose, and everyone in it is told so — including the teens. A teen (13+) can only chat after a parent or guardian enables it, and the teen themselves must acknowledge how the space works before they start. Youth channels are read by safety-cleared leaders (at least two must be active for anyone to post), by parents of every member, and by cleared church staff — that sentence appears permanently inside every youth channel. Parents can turn chat off for their teen at any time; the teen's access ends immediately, while messages already sent remain part of the channel's record. Leaders can escalate a concern to church staff for a safety review; every escalation must be acknowledged by staff on a permanent record.
We use a small number of service providers to run the app — database and file hosting, push notification delivery, email delivery, and text-message carriers. They process data only to deliver the service, never for their own marketing.
We do not sell personal information. We would disclose information only if the law genuinely required it.
How long we keep information
In plain terms, matching what church administrators see in our Admin Guide:
- Chat messages are not ephemeral. Messages you send in ministry chat are kept under your church's retention policy, including messages that were later removed from view (deleting or moderating a message hides it; it does not erase it). Churches keep this history so that safety concerns can be reviewed honestly after the fact. This applies equally to youth channels — for youth-serving organizations in California and elsewhere, this history is precisely the institutional record that the law expects to survive, and it does.
- If you leave your church (or the church removes you): your directory listing, ministry memberships, notification settings, phone number, photo, and birthday are deleted. Your name remains on announcements you posted and messages you sent, and volunteer safety records are kept according to your church's policy.
- If you delete your account: your sign-in is permanently destroyed and your name is removed from anything you posted (shown as "Removed Member" instead). This cannot be undone.
- Volunteer safety records (for members who served with children) are the church's record of its own screening process and are retained even after a member leaves, per church policy and applicable law.
Your choices
Edit your profile and per-field directory visibility any time. Switch any notification channel off any time — your choices are always respected. Leave your church or delete your account from inside the app. For anything else, including questions about information your church holds about you, contact your church office or write to us directly.
Changes to this policy
If we change this policy in a way that matters, we'll say so plainly on this page and update the date at the top.
